How Wedding Alcohol Planning Works

Every alcohol estimate reduces to one number: total drinks. Once you know how many individual servings your guests will consume, everything else is a division problem — you split that total by beverage preference, then convert each share into bottles or cans using how many servings each container holds.

The two inputs that matter most are the proportion of guests who actually drink and the drinks-per-hour rate. Getting either wrong compounds across the whole order: assuming 100% of a 200-guest list drinks when only 75% do inflates every category by a third.

Wedding Alcohol Formulas

Four steps take you from a guest list to a shopping list:

1. Total Drinks

Count only the guests who drink, then multiply by duration and pace:

Drinking Guests = Total Guests × Drinking %
Drinks per Guest = Event Hours × Drinks per Hour
Total Drinks = Drinking Guests × Drinks per Guest

2. Split by Preference

Apportion the total across the three categories:

3. Convert to Containers

Each container yields a different number of servings, and results are always rounded up:

Beer Cans = Total Beer Drinks ÷ 1
Wine Bottles = Total Wine Glasses ÷ 5

Champagne Bottles = (Toast Guests × 1 glass) ÷ 6

4. Add a Buffer

A safety margin protects against a higher turnout or a thirstier crowd:

Final Order = Containers × (1 + Buffer %)   — typically 10–15%

What Drives the Numbers

A few planning realities determine whether your estimate holds up on the day:

  • Liquor Goes Furthest: One 750ml bottle of spirits covers 16 drinks, against five glasses from a wine bottle. A cocktail-heavy bar therefore needs far fewer bottles than the same number of wine drinks, which often surprises first-time planners.
  • Buy-Back Makes Buffers Cheap: Many retailers accept returns on unopened bottles, so a 10–15% over-order costs little while eliminating the risk of a dry bar. Confirm the policy before you buy and keep cases sealed until needed.
  • Pour Size Changes Everything: These figures assume a 5 oz wine pour and a 1.5 oz spirit measure. A generous bartender pouring 6 oz of wine gets only four glasses per bottle instead of five — a 20% shortfall against your plan.

Here are three scenarios worked out step-by-step:

Example Scenario 1 — 150-Guest Wedding, Light Pace

Guests: 150 · Drinking: 80% · Duration: 5 hours · Split: 40% beer, 40% wine, 20% liquor · No buffer.

Drinking guests = 150 × 80% = 120 guests

Drinks per guest = 5 hours × 1.0 drinks/hour (light) = 5 drinks

Total drinks = 120 × 5 = 600 drinks

Beer = 600 × 40% = 240 drinks ÷ 1 per can = 240 cans

Wine = 600 × 40% = 240 glasses ÷ 5 per bottle = 48 bottles

Liquor = 600 × 20% = 120 drinks ÷ 16 per 750ml bottle = 8 bottles

Result: 240 cans beer, 48 bottles wine, 8 bottles liquor

Example Scenario 2 — Small Intimate Wedding with Toast

Guests: 60 · Drinking: 70% · Duration: 4 hours · Wine-led split (10/65/25) · Champagne toast for all 60.

Drinking guests = 60 × 70% = 42 guests

Drinks per guest = 4 hours × 1.0 drinks/hour (light) = 4 drinks

Total drinks = 42 × 4 = 168 drinks

Wine = 168 × 65% = 109 glasses ÷ 5 per bottle = 22 bottles

Beer = 168 × 10% = 17 drinks = 17 cans

Liquor = 168 × 25% = 42 drinks ÷ 16 = 3 bottles

Champagne = 60 guests × 1 flute ÷ 6 per bottle = 10 bottles

Result: 22 bottles wine, 10 bottles champagne, plus 17 cans beer and 3 bottles liquor

Example Scenario 3 — Heavy Drinking Crowd

Guests: 200 · Drinking: 90% · Duration: 6 hours · Split: 40/40/20 · Toast for all 200 · 10% buffer.

Drinking guests = 200 × 90% = 180 guests

Drinks per guest = 6 hours × 2.0 drinks/hour (heavy) = 12 drinks

Total drinks = 180 × 12 = 2,160 drinks

Beer = 864 drinks = 864 cans → 951 with 10% buffer

Wine = 864 glasses ÷ 5 = 173 bottles → 191 with buffer

Liquor = 432 drinks ÷ 16 = 27 bottles → 30 with buffer

Champagne = 200 ÷ 6 = 34 bottles → 38 with buffer

Result: 1,210 containers in total — roughly four times the Example 1 volume

Planning Tip

These are quantity estimates, not a substitute for talking to your venue or caterer. Many venues require you to buy through them, cap what you can bring in, or hold a licence that restricts self-service. Check the rules before ordering, confirm whether unopened bottles can be returned, and remember that mixers, garnishes and ice are separate line items — allow roughly one to one and a half pounds of ice per guest, which is the item most often under-ordered.

How many drinks are in a 750ml bottle of liquor?
About 16. A 750ml bottle holds 25.4 fluid ounces, and a standard spirit pour is 1.5 ounces, giving 16 to 17 drinks per bottle. This is why liquor goes much further than wine or beer — one bottle of spirits covers as many drinks as roughly three bottles of wine.
How many glasses of wine are in a bottle?
Five, at the standard 5-ounce pour used at catered events. A 750ml bottle holds about 25 ounces. If your venue pours more generously — 6 ounces is common — you will get only four glasses per bottle, so add roughly 20% to the wine figure.
How much champagne do I need for a toast?
One bottle serves six people at a toast-sized 4-ounce pour, so divide your toasting guest count by six. For 150 guests that is 25 bottles. Count non-drinking guests too, since many will still take a small glass for the toast itself.
What percentage of wedding guests actually drink?
Usually 70 to 85%. The figure depends heavily on your guest list — a wedding with many children, elderly relatives, designated drivers, or guests who abstain for religious or personal reasons will fall lower. Counting only actual drinkers avoids substantially over-ordering.
Should guests drink more in the first hour?
Yes. Consumption typically peaks during the first hour of the reception, often at 1.5 to 2 drinks, then settles to about one per hour as dinner is served and dancing begins. This calculator uses a flat average across the event, which produces the same total while being simpler to plan around.
How much extra alcohol should I buy as a buffer?
Add 10 to 15%. Running out mid-reception is far worse than having leftovers, and many retailers offer buy-back on unopened bottles, which makes a modest over-order nearly free. Increase the buffer toward 20% if your guest count is uncertain or the crowd skews toward heavy drinking.
What is a typical beer, wine and liquor split?
A common default is 40% beer, 40% wine and 20% liquor, though it varies with your crowd and the season. Summer and outdoor weddings skew toward beer, formal evening receptions toward wine and cocktails. If you are serving only beer and wine, set liquor to 0% and split the rest.
Do I need mixers and ice as well?
Yes, though they fall outside this calculator. As a rough guide, allow about one litre of mixer per three cocktails, and one to one and a half pounds of ice per guest — ice is consumed for chilling drinks as well as in them, so it is commonly underestimated.
Does a cash bar change these numbers?
Considerably. Guests typically drink 20 to 30% less when paying per drink, so you can scale down the total accordingly. An open bar with premium spirits tends to push consumption toward the higher end of the range, which is where the heavy setting is more realistic.
